ABSTRACT

This project “computerized staff information management system” is a way of keeping staff information electronically; the system when implemented will improve the performance of the existing one in the computer science department in such a way that it will be user friendly faster in execution and stress free. This system will be design and implemented using PHP, CSS and JAVA script for the design of the front-end interface and MYSQL for the design of the back-end (database).

INTRODUCTION

In past times, Information System at various level of education were been processed using paper and pen. Based on this fact, the staff information system department of many Institutions was not opportune or exposed, to exploit the use of various computer software packages and programs to process information. Using the computer system to manage staff information system is still not enough, but using an appropriate software package or program can go a long way in making the entire process less tedious and stress free. Web-based method of handling staff information is becoming widely used as the known old methods are becoming degenerated as time goes on.

As a result of recent changes and modernization in education, the need for a better, faster and more organized method of managing staff information in various institutions became necessary. This is due to the fact that some lapses were encountered while using the old methods of information system.

PURPOSE OF STUDY

The main purpose why we embarked on this particular project topic is basically as follows;

  1. To ease searching a particular staff information.
  2. To have a well organized staff information System.

iii.            To enable corrections and necessary updating of the staff information very easy.

STATEMENT OF PROBLEM

A clear and considerate look into complains relating to staff information, points to the way and manner staff information is been processed and how the database is been managed. As a result of this inconveniencies caused, staff data and information are been miss appropriated.

It is prior to this fact that we were motivated to come up with a more better and simpler method of managing staff information with a larger database, more security, user friendly and with a more attractive interface.

                                                   

LITERATURE REVIEW

The literature review takes care of all past work done in respect to this research topic. The internet, text books, journals as well as documentation would be consulted in writing this review of related literature.

Review of Related Literature

According To Dixon (2001), the term information System is an integrated set of components for collecting, storing, and processing data and delivering information. And also state that staff information system is a way of keeping, managing staff information.

According to Murdick (1995), Management Information System is a system that store and retrieves information and data, processes them and presents them to the management as information to be used in making decision. Hence, the central goal of MIS is to produce a material (Information) that should guide management in carrying out its basic function of planning, controlling, organizing and directing. A typical system (Education, Management etc.) cannot survive without good management information system (MIS). Management information system (MIS) is an information system, typically computer-based, that are used within an organization. .

Some previous work has actually been carried out in this area. Three of such are the work by Moses Ekpenyong (2008), Ukem and Onoyom-Ita, (2011) and that by Eyo and Francis, (2012).

In his work, Ekpenyong (2008) employs Microsoft Excel spreadsheet program to build an Intelligent Knowledge-Based System (IKBS), making use of various programming facilities provided by that application (Excel). The central issue here is that the programming is hard coded into the cells, and cell referencing is used to monitor and track student’s performance (cumulative points, etc.). The system has been reported to be working fine. However, it appears to be rather restrictive, and calls for substantial expertise in programming.

In the work by Ukem and Onoyom-Ita (2011) Adobe Dreamweaver, an Integrated Development Environment is used to create the Graphic User Interface and to write the codes. MYSQL, a Relational Database Management System, is used to create the database tables and data. Personal Home Page Pre-Processor (PHP) is used to communicate with and manipulate the database. This application, though tested and found to be working as expected, has however not been put to use widely.

Eyo and Francis (2012) in their work, a computer software application was developed to facilitate the automated information system. The software was developed in PHP language in the form of a database, employing MYSQL Relational Database Management System. The developed software performed well and produced expected results on completion.

Apart from these three, there are undoubtedly several other similar applications in existence. There is, however, always room for improvement. This new application is intended to have reduced complexity, greater ease of use and online processing, via a network in order to enhance maintainability while still retaining good speed and accuracy, In computing, databases are sometimes classified according to their organizational approach. The most prevalent approach is the relational database, a tabular database in which data is defined so that it can be reorganized and accessed in a number of different ways.

David (1990) stated that PHP is a popular general-purpose scripting language that is especially suited to web development.

He also said that the  World Wide Web (www) is an open source information space where documents and other web resources are identified by URLs, interlinked by hypertext links, and can be accessed via the Internet. It has become known simply as the Web. The World Wide Web was central to the development of the Information Age and is the primary tool billions of people use to interact on the Internet.

The World Wide Web was invented by English scientist Tim Berners-Lee in 1989. He wrote the first web browser in 1990 while employed at CERN in Switzerland.

Web pages are primarily text documents formatted and annotated with Hypertext Markup Language (HTML). In addition to formatted text, web pages may contain images, video, and software components that are rendered in the user’s web browser as coherent pages of multimedia content. Embedded hyperlinks permit users to navigate between web pages. Multiple web pages with a common theme, a common domain name, or both, may be called a website. Website content can largely be provided by the publisher or interactive where users contribute content or the content depends upon the user or their actions. Websites may be mostly informative, primarily for entertainment, or largely for commercial purposes.

METHODOLOGY

This chapter takes a closer and more technical study on the system design and implementation procedure of the ongoing staff information system and security project. This chapter will be analyzed and designed using unified modeling language (UML) which include; use case diagram it also should specified the system requirement input and output specification as well as file to specified in this project research.

However, the main objective of this chapter is to demonstrate the method and techniques used in carry out, this includes; the method of data collection system analysis and design.

Method of Data Collection 

A thorough investigation of the current system was made in order to obtain detailed fact about the application area to be re-designed. Investigation also covered looking at the functional requirement of the present system and finding out whether the requirements and objective of the present system are being achieved. In the investigation proper, several methods of data collection were employed which includes interviewing of office representatives and direct observation. These methods were adopted to ensure the validity of data collected and relevance of the result after processing the data.

Interviewing

In view to investigation, office representatives were interviewed such as the lecturers and Mr. Francis (HOD’s). This method yields the most profitable result as it is obtained by physical contacts; hence a firsthand knowledge of the various processes involved is obtained by speaking to the operator of the system. The essential element of the interview is obtained directly and in a short time than when other methods are employed since it is a direct face to face contact. This immediate feedback gives the opportunity to ask ambiguous questions and hence, obtain detailed responses.

Observation  

The method of data collection enables the researchers to witness a firsthand operation of the old system or manual system. Direct observation is the surest method of learning as a scientist and this method was richly employed.   During the observation, the researcher had a feel of:

A Use Case diagram in Unified Modeling Language shows the functionality provided by a system in terms of actors, their goals represented as use cases, and any dependencies between those use cases.

Summary

This research work focuses on the use of computer system with reference to staff Information System of the Department of Computer Science.

The project work cannot be said to be perfect, but however, its benefits cannot be overemphasized. It has led to the improvement in the speed of processing operation, efficiency, accuracy and improved storage of data.

Conclusion

Realizing a project of this nature is very exciting. However, the students encounter a lot a problem which I believe if looked into, will go a long way toward reducing the tension associated with the design implementation and construction of the project.

In spite of the constraints encountered during the implementation of this project, the aim of my project is well accomplished.
